The successful candidate will be someone who has a strong and demonstrated ability to listen and speak to clients like a trusted friend….a service-minded professional who is energized by the gratitude of knowing they have helped pet owners understand their options and make the most appropriate decision for their pet and family.  

In this position you will be supporting our specialists and clinical team by creating a positive, low-stress atmosphere for our clients and patients. It is the Doctor’s Assistant’s role to support our specialists in their consults, surgery and procedure scheduling and facilitate communications with clients and referring veterinarians. In the clinical setting, the Doctor’s Assistant works closely in supporting one specialist, guiding clients through the consult process, and educating and answering questions about options and process.

The Doctor’s Assistant will enhance the care of the patient and the experience of the pet owner. They seek to form a bond with each client and pet, helping the client understand the medical recommendation of the specialist after options have been reviewed, cost of procedures outlined, and treatment plans are discussed.

However, it doesn’t end with client relations. The Doctor’s Assistant also serves as an “air traffic controller” to ensure that the doctors, technicians and client services staff know where each patient is in the examination process and when special attention needs to be given to a patient or its owner. Your communication skills, medical knowledge and passionate nature will be the key to creating the strong bond that Beacon Veterinary Specialists emphasises.

 

Position Details:

  • Review Client information and medical records- call referring clinics to retrieve records, medical info (i.e. recent medications, bloodwork), and radiographs through email/fax.

  • Greet Clients- ask questions pertaining to the reason for the visit, list medications that patient is currently on and reasons why they were referred to a Beacon specialist.  

  • Locate/page the Doctor- provide patient history and records and radiographs for review.

  • Assist with exams- restrain pet while doctor examines, assist with gait analysis, etc.

  • Begin typing discharge notes- notes based on the information written by the doctor; sometimes NO info is written and it is the responsibility of the Doctor’s Assistant to pay close attention to the conversation so that they have a thorough understanding of what the doctor is finding and what his or her likely recommendations will be.

  • Create estimates for surgeries and procedures- this includes add on procedures (+/-), lab work (cultures, biopsies etc.), and occasionally will require multiple estimates.

  • Radiographs- schedule radiographs and/or additional diagnostics or CT studies as requested by the specialist.

  • Bloodwork- schedule pre-surgical bloodwork or additional diagnostic bloodwork (tick panels etc.)

  • Review estimates and handouts with clients- answering questions regarding the surgery process and what to expect during the discharge appointment. Reviewing the payment process (deposit at time of scheduling, what and when to pay the estimate remainder).

  • Scheduling surgery and discharge- coordinating with a client’s personal schedule to schedule the surgery at the earliest convenience (offering evening before drop offs, helping facilitate if they need to board the pet).  This includes receiving calls from clients or referring veterinarians who are scheduling a surgery or procedure after a consult.

  • Reviewing/finishing/and formatting discharge notes- proofreading the doctors discharge notes, looking for grammatical errors, spelling, proper format, etc.

  • Check out- let the client services staff know that the client is ready to check out, what the charges are (consult, +/-radiographs, +/- bloodwork etc.) and advise them if any follow-up appointments need to be made.

  • Clinic communication- call all referring hospitals to let them know we saw a mutual patient, and that we will fax/email over discharge notes/or call to confirm they have received notes.

  • Compliance tracking- utilize appointment tracking form for later analysis of client compliance.

  • Catch up work- work/finish any discharge notes that need to be emailed and faxed.
