Assistant Property Manager – Commercial Real Estate

JOB Summary
The Assistant Property Manager plays a key supporting role in the successful management of a flagship urban Class A mixed-use office and retail property. Using discretion and independent judgement, this role helps execute the day-to-day operational, financial, and tenant service functions that keep the property running smoothly. The Assistant Property Manager collaborates closely with property management, engineering, and leasing teams to support lease administration, ensure tenant satisfaction, assist with budgeting and reporting, and maintain building standards.

Financial Management
- Support the development and management of annual budgets, ensuring financial targets are met.
- Review and approve payables in line with budgetary constraints.
- Partner with accounting to analyze financial reports and address budget variances.
- Monitor rent collections, resolve tenant delinquencies, and oversee default proceedings.
Leasing & Tenant Relations
- Coordinate move-ins and move-outs in accordance with lease terms and property procedures.
- Maintain updated knowledge of tenant lease abstracts and obligations, supporting compliance across departments.
- Assist in tracking lease expirations, renewals, expansions, and other leasing activity.
- Respond to tenant service requests professionally and follow through to ensure timely resolution.
- Support the Senior Property Manager in maintaining high tenant satisfaction and proactive communication.
Facilities & Operations
- Conduct regular site inspections to monitor property conditions and identify maintenance needs.
- Coordinate routine maintenance requests, vendor scheduling, and service follow-up.
- Help maintain accurate building documentation including site plans, vendor contracts, and insurance records.
- Collaborate with engineering staff to support building systems management, vendor oversight, and ESG compliance efforts.
Capital Projects & Risk Management
- Assist with coordination of tenant improvements, capital projects, and vendor work, including proposal gathering and schedule tracking.
- Support emergency preparedness planning and risk mitigation procedures.
- Monitor safety protocols and compliance with local, state, and federal regulations.
Stakeholder Engagement & Reporting
- Prepare reports and updates on property operations, tenant issues, and project timelines as requested by the Senior Property Manager.
- Liaise with vendors, tenants, and internal stakeholders to support operational initiatives.
- Assist in preparation of documentation, checklists, and recurring reports for leadership and ownership review.
Qualifications & Skills
- Education: Bachelor's degree preferred
- Experience: Minimum of one year in commercial property management with a track record of success.
- Technical Proficiency: Experience with real estate software such as MRI, Yardi, Nexus, or Avid is a plus; proficiency in Microsoft Office suite.
- Communication & Leadership: Strong relationship management and problem-solving skills.
- Travel: Valid driver’s license and ability to independently travel to other office sites as needed.
Work Environment & Physical Requirements
- Based on-site at the assigned property, primarily office setting, some walking, climbing stairs, occasional outdoor setting in all weather conditions and seasons, and exposure to building or office rehab dust and debris.
- Extended periods of sitting and computer and keyboard use; reading documents, spreadsheet calculations, phone, copier and other electronic office device use.
- Regular verbal and written communication. .
- Ability to navigate construction sites and perform physical tasks such as light lifting (<20 lbs.) as needed.
