CEO Executive Assistant
Your Role:
Affinity Capital Exchange is seeking an experienced Executive Assistant who will serve as a primary point of contact and assistant to the organization’s Chief Executive Officer (CEO). We are seeking a practical and strategic thinker who can connect all the dots between needs, relationships and opportunities. You will be extremely creative and highly motivated in removing barriers to successfully accomplishing your job duties.
You will be a key supporter to the CEO in his communications, in nurturing existing relationships and in building new ones, always strategizing about next steps and ongoing engagements with multiple stakeholders. You should be able to move quickly with the changing environment, stay up to date with the latest developments at Affinity Capital Exchange and strategically support your CEO's projects.
You should be able to understand the unspoken needs and characteristics of the people with whom you work. You can quickly learn what the CEO needs, pay close attention to shifts in the executive’s behavior and temperament, understand his strengths and weaknesses, what triggers anger or stress, and how to best accommodate his personal style. You understand that timing and judgment are the foundation of a smooth working relationship.

Key Responsibilities:
- Manage the CEO’s schedule, appointments and travel arrangements, ensure schedule aligns with strategic priorities.
- Strategize and coordinate all speaking engagements, events coordination, logistics and relationship management.
- Effectively work with broader team to communicate and represent CEO's activities, associated schedule, and provide administrative support as needed.
- Proactively anticipate CEO's needs and balanced work schedule.
- Manage operational, HR, Benefits, Legal and administrative issues, as needed, in a fast-paced office environment.
Qualifications
Minimum qualifications:
- BA/BS degree or equivalent practical experience.
- At least 5+ years of relevant experience as an executive assistant supporting a C-Level executive in a fast paced, growing organization.
- Experience in managing a CEO, ensuring deadlines are met and CEO stays on track to complete critical deliverables and/or administrative timelines.
Preferred qualifications:
- Exceptionally strong organizational skills, the ability to work and deliver projects, and achieve targets independently, proactively, and under pressure.
- Strong time-management skills with ability to handle multiple initiatives including keeping the CEO’s focus prioritized on important events.
- High level of patience, quickly and creatively responding to unexpected change, challenges, or new priorities as they arise.
- Highly proficient in maximizing various forms of technology/mobile devices in staying organized and connected.
- Has a high level of trustworthiness, integrity, work ethic, and confidence in making decisions and possesses sound judgment.
- Superior interpersonal and communication skills, both written and verbal.
- High level of emotional intelligence, compassion and/or empathy.
