Leasing Coordinator

This position is responsible for providing collaborative administrative support to the Leasing Team, whose primary purpose is to market and lease a portfolio of retail, office and industrial properties. Administrative coordination and responsibilities continue through the leasing process from initial prospect contact through lease execution.
JOB ESSENTIAL RESPONSIBILITIES - the following is not an all-inclusive list of the job responsibilities; MCB may change or revise listed duties and responsibilities or add other job-related duties at any time as the general position responsibilities evolve and, to support business needs.
Reporting:
• Using tailored leasing department software to update, prepare and distribute leasing status reports
• Prepare materials and manage presentations during leasing update meetings
• Follow-up with team members to ensure accuracy of leasing reports
Leasing:
• PropTech management ensuring that all data and information in the Company’s leasing activity database is complete and accurate
• Work with Leasing team members to update and distribute leasing status reports
• Listing platform management
• Collaborate with Leasing team members on strategic departmental initiatives
o Asset class and geographic vacancy reports
o Asset level and corporate level commission reports
o Leasing business plans for new acquisitions
• Managing leasing workflows
o Ensure complete and accurate information for lease approval process
Aggregate necessary documents for lease approvals
o Follow up with internal approvers
o Coordinate with Property Management, Construction, Lease Administration and Accounting to transition final lease agreements from Leasing to Property Management departments.
• Liaise with internal and external stakeholders for leasing needs
• Prepare lease exhibits
• Vacancy make-ready efforts
• Run credit and OFAC reports
Marketing:
• Collaborate with MCB Marketing to create and maintain a database of all project marketing materials
• Coordinate with MCB Marketing to ensure proper distribution and accuracy of marketing materials and information
• Screen inbound call and email inquiries and distribute leads to deal makers
• Maintain current broker lists in specified markets
• Collaborate with team in maintaining a CRM database for retail tenants; primary responsibility for updates/changes
Organization and Administrative:
• Maintain a database of site plans, floor plans, blocking plans and stacking plans
• Organize and timely update leasing budgets for each property
• Coordinate meeting scheduling efforts, travel arrangements, and manage contacts lists and expense reports
• Attend all leasing update meetings and calls in order to stay informed of deal flow and make updates to leasing reports
KNOWLEDGE, EXPERIENCE, SKILLS/ABILITIES
• Minimum Two (2) years of high-volume corporate administrative support, preferably in property management or commercial property leasing
• Proficient with PC based computers and Microsoft Office suite, including Word, Excel, Teams, PowerPoint, Outlook and Adobe Acrobat
• Effective oral and written communication skills and ability to interact easily with others at all levels of the organization and the public
• Excellent math, reading and proofreading skills
• Strong multi-tasking skills, attentive to detail, follow-up and ability to prioritize work and meet deadlines
• Must be able to set and meet independent deadlines as well as collaborating with team to meet team deadlines
• Maintain highest standard of business ethics and trustworthiness
• Team player who will simultaneously take direction and initiative
Education Requirements:
Associate’s degree from an accredited institution with a degree focus in business administration or other business focus preferred. An equivalent combination of education and years of business experience may be considered.
Physical Requirements:
This position is primarily performed in an office setting with extended periods of sitting and computer/keyboard use; reading documents; spreadsheet calculations; phone and other electronic equipment. Typing dexterity needed; minimal lifting (<20 lbs.), standing, climbing and traversing commercial site construction areas as needed.
