Senior Property Manager

JOB Summary

Financial Management
- Develop and manage annual operating and capital budgets; ensure alignment with ownership goals.
- Analyze financial performance, track variances, and implement corrective actions to meet revenue and expense targets.
- Review and approve payables in accordance with budget parameters.
- Lead rent collection efforts in collaboration with lease administration team, resolve delinquencies, and manage default procedures when necessary.
- Evaluate and appeal real estate tax assessments in collaboration with ownership and accounting teams.
Tenant Relations & Lease Administration
- Act as the senior liaison with tenants, maintaining high standards for communication, responsiveness, and service delivery.
- Support leasing strategies through collaboration with internal and third-party leasing teams.
- Oversee lease compliance, including insurance tracking, billing accuracy, and critical dates.
- Coordinate tenant move-ins, move-outs, and build-outs, ensuring adherence to lease terms, design standards, and applicable regulations. Collaborate with Assistant Property Manager and/or Tenant Coordinator when required.
Facilities & Operations
- Ensure properties are well-maintained, safe, and visually appealing to the highest operational standards representative of the company’s mission and brand.
- Manage vendor contracts, oversee service providers, and ensure compliance with agreements, including insurance requirements.
- Maintain building records, site plans, lease documents, and operational guidelines.
- Direct routine and preventative maintenance, inspections, and emergency procedures.
- Monitor and optimize utility consumption, sustainability initiatives, and compliance with regulatory requirements while ensuring adherence to applicable ESG initiatives.
Capital Projects & Risk Management
- Identify capital improvement needs and manage projects within budget and timeline constraints, and subsequently maintain and update accurate property documentation accordingly.
- Develop and implement risk management strategies, including security, fire safety, and emergency preparedness and response.
- Ensure compliance with state, federal, and local safety regulations.
Leadership & Collaboration
- Serve as the primary point of contact for ownership, tenants, vendors, and internal stakeholders.
- Supervise and mentor Assistant Property Manager(s) and/or Property Administrator(s), where applicable. Provide guidance, delegate tasks appropriately, and ensure high performance and professional development.
- Provide regular reports on property performance, tenant relations, and operational updates.
- Mentor and supervise junior team members where applicable, fostering professional growth and performance accountability.
- Partner with asset management, leasing, construction, and legal teams to align operational execution with broader asset strategy.
- Prepare and present property performance updates and strategic recommendations to leadership and ownership.
Qualifications & Skills
- Education: Bachelor's degree preferred, or equivalent experience.
- Experience: Minimum of ten years in commercial property management with a track record of success.
- Certifications: CPM, CFM, or RPA designation are a plus.
- Technical Proficiency: Experience with real estate software such as MRI, Yardi, Nexus, or Avid; proficiency in Microsoft Office suite.
- Project Management: Understanding of construction processes, lease administration, and budgeting.
- Communication & Leadership: Excellent written, verbal, and interpersonal skills with a client-focused mindset and the ability to problem-solve.
- Travel: Valid driver’s license and ability to travel between properties as needed.
Work Environment & Physical Requirements
- Primarily office-based with frequent on-site property visits required.
- Ability to navigate construction sites and perform physical tasks such as light lifting (<20 lbs.) as needed.
