About the Role
Zen Residential is seeking a detail-oriented and highly organized Leasing Administrator & Lease Renewal Support team member to join our Shared Services department.
In this role, you will play an important part in supporting leasing administration and lease renewal activities across our portfolio. You will work closely with Property Managers, Community Managers, and the Shared Services team to ensure lease documentation is accurate, renewal processes are completed on time, and residents receive exceptional service throughout their tenancy.

Key Responsibilities
Leasing Administration
• Process rental applications and supporting documentation.
• Prepare lease agreements, amendments, notices, and related leasing documents.
• Communicate with prospective and existing residents regarding leasing matters.
• Maintain accurate tenant records and documentation.
• Support the leasing process from application through move-in.
Lease Renewals
• Prepare and distribute lease renewal notices.
• Coordinate lease renewal communications with residents.
• Track upcoming lease expiries and renewal deadlines.
• Process renewal agreements and ensure timely completion.
• Follow up with residents regarding outstanding renewal decisions.
• Assist with maximizing renewal rates and occupancy retention.
Reporting & Administration
• Maintain accurate records within Yardi and other property management systems.
• Generate reports related to lease renewals, occupancy, expiring leases, and leasing activity.
• Monitor renewal pipelines and provide updates to operational teams.
• Ensure data accuracy and compliance with company standards.
• Provide administrative support to the Shared Services team as required.
Compliance & Customer Service
• Ensure leasing and renewal activities comply with applicable legislation, including the Alberta Residential Tenancies Act.
• Maintain confidentiality of resident and company information.
• Deliver professional and timely customer service to residents and internal stakeholders.
• Support continuous improvement initiatives and process enhancements.
Qualifications
• Previous experience in leasing administration, property management administration, customer service, or a related administrative role.
• Strong organizational skills and exceptional attention to detail.
• Excellent written and verbal communication skills.
• Ability to manage multiple priorities and deadlines in a fast-paced environment.
• Strong proficiency with Microsoft Office, including Excel, Outlook, and Word.
• Experience with Yardi or other property management software is considered an asset.
• Knowledge of residential leasing and lease renewal processes is considered an asset.
• Familiarity with residential tenancy legislation is considered an asset.
