Summary

The primary purpose of this position is coordinating reservations, room blocks and contracts for group sales as well as data entry and analysis to gain experience in the hotel Revenue Management discipline. 

Job Summary 

Process all sales reservation requests, changes, and cancellations received by phone, fax, or mail. Identify guest reservation needs, determine appropriate room type, and verify availability of room type and rate. Explain guarantee, special rate, and cancellation policies to callers. Accommodate and document special requests. Respond to any challenges found for accommodating rooming requests by communicating with appropriate individual or department. Oversee accuracy of room blocks and reservations. Input group rooming lists using reservation systems, revise room blocks to maintain the required number of available rooms, and keep organized files of all groups. Set-up proper billing accounts according to Accounting policies. Regular attendance and participation in meetings including management staff meetings, and leadership of department meetings. Responds immediately by acting upon negative guest comments / suggestions / circumstances to take corrective action to ensure customer satisfaction at all times. Update, process, generate and distribute daily, weekly and monthly revenue management reports in various systems, to include, but not limited to: Weekly Group Pick-Up Reports, Weekly Booking Pace Reports Daily, Month-end Revenue Management, Data entry into various systems, including Excel, assist in preparation of the monthly forecast reports, monthly displacement report, monthly transient historical trend reports, monthly no-show analysis reports and Demand Calendars, Development of new reports, as needed, to assist in preparation for the weekly revenue management meetings or data analysis and Maintenance of historical statistical data from all distribution channels. Analyze and present accurate picture of trends, demand and market conditions. Monitor and analyze the competition daily and to identify selling strategies and market trends. Maintain and enter accurate rate and demand information in needed systems for daily, weekly and monthly updates to transient demand, rack and group rates. Maintain / monitor group inventory in CRS. Monitor / follow-up group cut-off dates in all systems. Accurate preparation and distribution of daily and weekly occupancy forecasts.

 

Qualifications

Bachelor’s Degree in Business or Hotel Administration; or equivalent education and experience. At least 3 years of previous work experience in Sales, Revenue Management and/or Hotel Operations. Able to effectively communicate in English, in both written and oral forms. Multi-lingual is a plus. Must qualify for and maintain licensure as required by Pennsylvania Gaming Control Board.  Must have thorough knowledge of approved Responsible Gaming Program.
