Volunteer and Internship Programs Manager

 

Reports to: Vice President Community Partnerships

 

Direct Reports:  Volunteer & Internships Coordinator, Volunteer Programs Assistant

 

Position Overview: 

 

Responsible for management and oversight of the ArtsQuest volunteer and internship programs including outreach and advocacy, recruiting, scheduling, training, and supervision of volunteers and interns for all ArtsQuest programs and events. Coordination and oversight of Levitt Pavilion SteelStacks volunteer program. 

 

Responsibilities: 

 

•Develop comprehensive written Volunteer Plan to effectively identify and serve the volunteer needs of all ArtsQuest’s programs and events, in consultation with ArtsQuest staff and committees, and develop and implement solicitation strategies to fulfill these needs throughout the year.

•Manage volunteer database(s), including but not limited to, the review and evaluation of all aspects of existing databases, functionality, performance and ease of use for end user and administrative functions.  Make recommendations for change and/or adjustments where needed.

•Supervise part time and seasonal staff and interns in the Volunteer Department.

•Design, prepare and manage all volunteer registration and training materials; assist in training of all volunteers.

•Develop, coordinate and manage volunteer recognition and appreciation program.

•Manage all aspects of volunteer inventory such as shirts, name badges, and pins.

•Develop and monitor regular volunteer roles and individual volunteers, adjusting roles and identifying leadership potential when applicable.

•Have working knowledge of individual volunteers’ strengths and weaknesses and provide training and support as needed. 

•Coordinate all aspects of corporate volunteer program, including developing, maintaining and growing those relationships.

•Provide and maintain up-to-date content for volunteer section of website, including recruiting, recognizing and highlighting volunteers and their contributions.

•Develop and manage regular communication with volunteer base via (but not limited to) monthly volunteer newsletter, social media, email, in-person meetings and the volunteer portal.

•Provide personalized, individual attention to volunteers through phone calls, emails, cards, and personal notes.

•Act as advocate for volunteers.

•Support staff and their departments in their use of volunteers.

•Serve as staff liaison to Volunteer Committee.

•As the lead representative of the Volunteer Team, participate in the planning and execution of all events pertaining to the organization.

•Other duties as assigned.

 

Knowledge, Skills and Abilities Required: 

•5 years Business Management/Supervision/Leadership Experience preferred.

•Demonstrated previous leadership ability to manage, evaluate and develop staff and volunteers in multiple locations preferred.

•Previous work experience with volunteers preferred; previous volunteer experience preferred. 

•Previous training experience; ability to speak comfortably in front of large groups of volunteers or one-on-one.

•Excellent organizational and communication skills (verbal, written and interpersonal).

•Proficiency with Microsoft Excel, Word and Outlook and Power Point required. 

•Proficiency or knowledge of Raiser’s Edge a plus and/or a Volunteer Database.

•Ability to handle multiple projects simultaneously in a professional manner.

•Ability to work in a fast-paced customer-centric environment.

•Ability to work independently or in a team setting.

•Ability to sit, stand, communicate, listen, walk, squat, stoop, bend and smile.

•Ability to lift up to 25 pounds occasionally, with or without reasonable accommodation.

•Flexibility to work long and unusual hours when necessary to accomplish the goals of the organization, including evenings, weekends and occasional holidays

A salary range has been established and will be discussed with qualified candidates. Salary will be commensurate with experience.
