Position Overview:
We are seeking a reliable and detail-oriented HR Assistant to join our team. This position plays a key role in supporting the day-to-day operations of the Human Resources department. The ideal candidate will possess a high degree of confidentiality, exceptional organizational skills, and a proactive attitude. Responsibilities will range from coordinating benefits and processing employee changes, to assisting with new hire onboarding and employee recognition. This role is ideal for someone looking to grow within HR while ensuring smooth and compliant administrative operations.
Key Responsibilities:
· Monitor HR Communications: Manage the HR email inbox and incoming HR-related phone calls. Address updates to demographics, direct deposits, emergency contacts, tax changes, timecard inquiries, verification of employment requests, certificate of insurance (COI) requests, etc.
· Payroll Support: Assist with the initial payroll process by reviewing inputs and applying unique payroll adjustments.
· Employee Recognition: Place orders quarterly and manage redemption report.
· New Hire Onboarding: Coordinate new hire gifts and ensure task completion through Netchex. The manager will post job openings and handle orientation.
· Benefits Coordination: Communicate benefits enrollment windows for medical, dental, vision, supplemental and 401(k) plans, providing employees with instructions on how to enroll.
· Document Management: File and maintain confidential HR documents including salary agreements, annual manager training certifications, performance evaluations, resets, etc.
· Event Coordination: Assist in organizing HR events such as Financial Literacy Workshops, Open Enrollment sessions, and Annual Manager Compliance Training.
· Confidentiality and Compliance: Maintain discretion and confidentiality in all HR matters. Ensure documentation aligns with HR policies and compliance requirements.
Qualifications:
· High School diploma or equivalent required; Associate’s degree or higher in Human Resources or related field preferred.
· Previous experience in HR support or administrative roles required.
· Strong attention to detail and accuracy.
· Comfortable handling confidential and sensitive information.
· Ability to manage multiple responsibilities across various pay scales and departments.
· Professional written and verbal communication skills.
· Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with HRIS systems (e.g., Netchex) is a plus.
· Strong interpersonal skills and a proactive mindset.
