Compensation: $15.00 - $18.00 per hour (Based on Experience & Licensing)
Schedule: Part-time and Full-time, up to 40 hours per week

The Role: Office Assistant

This role is a blend of client service, administrative support, and reception duties—perfect for someone who thrives in a dynamic office environment.

The Office Assistant is responsible for performing clerical and administrative tasks to support daily operations. Duties include being the first energetic face to the client, answering and transferring phone calls, sorting and delivering mail, greeting visitors, and providing general administrative support to the team. 

Additionally, this role provides essential support to the Financial Advisors, ensuring that client interactions and office operations are professional and run smoothly. What You’ll Do
  • Support the Team with a variety of administrative functions and tasks.

  • Answer and transfer phone calls, ensuring seamless communication within the offices.

  • Sort, scan, and distribute mail to maintain organized office operations.

  • Greet clients and visitors warmly, ensuring a welcoming and professional experience.

  • Interface with clients to coordinate meetings, mailings, and other communications.

  • Schedule and assist in preparing for all meetings by providing necessary details, documents, including driving directions.

  • Assist in managing the Advisor’s calendars, ensuring efficient scheduling among clients and specific office space.

  • Update CRM systems (Salesforce) to ensure accurate client records and interactions.

  • Maintain client correspondence, including compliance and marketing mailings.

  • Maintain internal mailing lists, birthday card lists, and monthly calling lists to enhance client engagement.

  • Organize and maintain physical or electronic files, ensuring accessibility and compliance.

What We’re Looking For
  • A positive attitude and strong customer service mindset—you genuinely enjoy helping people.

  • Administrative or office experience (1 year preferred, but we’ll train the right candidate).

  • Strong organizational skills with the ability to juggle multiple tasks and prioritize effectively.

  • Tech-savvy—comfortable with Microsoft Office (Word, Excel, PowerPoint) and willing to learn new tools.

  • Growth-minded - seeking opportunities to learn and grow (willingness to work towards Life & Health insurance licensing).
