Position Summary:

Program Associate is responsible for application intakes and review of all necessary documents to ensure client eligibility for PACO programs.  Under the general direction of the Program Manager, the Program Associate ensures accuracy and efficacy in reporting, daily operation and case specific issues. The associate is holds the responsibility to build strategic relationships, conduct a variety of outreach activities, and engage constituents to increase awareness of our programs and services

 

Outreach Responsibilities and Duties:

 

  • Establishes and maintains cooperative relationships with representatives of community, social, and other public organizations or interest groups.
  • Represents the agency in meetings, forums or committees in order to inform, disseminate program literature and applications to service providers and to community organizations at large
  • Performs oral and/or visual presentations concerning program services to groups, organizations, schools, service providers, churches, and/or individuals
  • Schedules and performs home visits for homebound applicants who are elderly and/or disabled and unable to come to our office
  • Creates outreach materials such as flyers, brochures, etc.
  • Manages and maintains social media sites: Facebook, Twitter, and Buffer App.
  • Implements annual outreach plan

 

Intake Responsibilities and Duties:

 

  • Reviews source of documents and information necessary to process every application with proper coding such as dates addresses, supplier account numbers accuracy and program codes
  • Contact perspective companies that will assist eligible clients with emergency fuel deliveries or to prevent heating services from being disconnected due to shut off notices
  • Performs a variety of clerical duties such as data entry, record searching, verifying documents, filing updates, logging all applications, recertification, updates received and maintains a tally of incoming documents for reporting to state funding sources
  • Maintains and organizes all client files and data with confidentiality
  • Ability to perform key-entry assignments at a level of accuracy and proficiency to accomplish tasks in accordance to time frame established by the contract regulations under the direction of the program manager
  • Screens clients and assists with the intake and outreach process for all programs under the Weatherization and Home Energy Assistance department 

 

 

Education and Experience:

  • Associate Degree or two (2) years college or with one (1) year relevant experience in a non-profit sector
  • High School diploma or equivalent with 2 years relevant experience in a non-profit or fast paced environment.
  • A valid NJ Driver’s license and reliable vehicle
  • Bilingual (English and Spanish) preferred

  • Computer literate with knowledge of Microsoft Office, Office 365, CRM’s applications
  • Experience with Social Media channels (Facebook,Twitter,Snapchat)
  • Demonstrated maturity, integrity, and sound judgment

 

 

Qualification Requirements and *Physical Demands:

  • Must possess a valid state driver’s license and good driving record required
  • Must be able to observe safety and security procedures and uses equipment and materials properly
  • Employee is required to stand; walk; use hands to find, handle, or feel; and reach with hands and arms
  • Employee is occasionally required to sit as much as 60 % of scheduled time, climb or balance, stoop, kneel or crouch
  • Employee must frequently lift and/or move up to 15-20 pounds and occasionally lift and/or move up to 25 pounds
  • While performing the duties of this job, the employee is frequently exposed to a variety of extreme weather conditions
  • Flexible Schedule – May be required to work evenings and weekends
  • Must be able to travel as needed (in-town and out-of-town trainings and conferences)
