Overview of Position:

Strong City Baltimore, Inc., is a nonprofit organization located in Baltimore City providing fiscal sponsorship to over 130 projects throughout Baltimore City. Projects relationships are stewarded by a team of Portfolio Managers (PMs). The role of the Portfolio Manager is to identify and understand the needs of their assigned portfolio of projects and assist in meeting those needs. Portfolio Managers provide fiscal oversight for projects in their portfolio and must be comfortable interacting with financial data and systems in addition to interacting with community-based programming.  Through effective relationship development and collaboration with projects in their portfolio, Portfolio Managers can anticipate project needs and develop their capacity to address those needs. 

Work activities will be implemented in alignment with Strong City’s policies and procedures, vision, mission, goals and core values. Portfolio Managers focus on two key strategies to fulfill their responsibilities:

  • Establish and maintain trust with projects by serving as an effective relationship manager and collaborator. Working as a member of each project’s team, or as an asset to each project. PMs use their expertise and resources to help projects grow their work and maintain compliance with Strong City’s policies.
  • Assure the effective and complete delivery of services and support systems needed by projects.

Specific responsibilities:

  • Serve as the main point of contact for projects, providing high-quality relationship management, customer service, fiscal oversight, capacity building, and collaborative strategic support in project growth
  • Takes a leading role in managing day-to-day relationships with projects, including making strategic decisions in responding to questions or issues that will further relationship goals
  • Ensure the delivery of consistent, day-to-day supports to projects functioning at every level of sophistication, styling communication and support to the constraints or needs of each project while maintaining compliance with Strong City’s policies
  • Actively monitor email and voicemail, adhering to a 2-business day turnaround
  • Together with colleagues in Finance, HR, Development, Administration, support project needs

Support projects in the following areas:

  • Fundraising:
    • Review all grant applications prior to submission
    • Use of WeDidIt and other fund cultivation strategies
    • Advise on fundraising strategy
  • Fiscal Oversight:
    • Monitor availability of funds before authorizing spending
    • Ensure that spending is in alignment with organizational budget
    • Understand, review and distribute financial statements, responding to questions
    • Perform monthly assessments of fiscal health for all projects in the portfolio
  • Operations:
    • Advise on development of programming in line with the mission and nonprofit best practice
    • Monitor project activities for insurance considerations, including advising on the acquisition of specialized coverage or certificates of insurance as needed
  • Capacity Building:
    • Development of a Revenue Plan, Budget, and Strategic Plan
    • Collaborate with project leads to identify and implement their own Capacity Development priorities
  • Accounts Payable:
    • Evaluate expenses for: Mission alignment, budget alignment, any specific reporting requirements tied to specialized pots of funding, and availability of funds
  • Human Resources:
    • Approve biweekly electronic timecards for assigned employees
    • Participate in new hire process by distributing the Scope of Work Worksheet and assuring wage ranges align with budgets and the market
    • Identify and act on emergencies or high priority or issues

Engagement and Promotion:

  • Engage with projects to provide Quality Assurance and strategic thought partnership regarding their programming
    • Perform at least 1 site visit to each project each year
    • Implement monitoring tools to track completion of the grant or contractual deliverables
    • Support projects in implementing events, including attending events as possible
    • Identify or develop content to publicize the work of projects to be shared via social media
    • Identify the big picture trends of capacity building targets, needs, pain points, and potential synergies within the Portfolio to share with Strong City team
      • Provide specific supports as dictated by individual project needs

Qualifications:

  • Bachelor’s Degree preferred, or its equivalent in non-profit and customer service experience
  • At least 3 years’ experience in non-profit administration, funding, or finance
  • Strong record-keeping ability, including familiarity and comfort with organizational finance, budgeting, statements, and/or financial management software
  • Demonstrated ability to think creatively and strategically about complex problems
  • Well organized, able to handle multiple tasks, meet deadlines, and collaborate effectively with a team and with a variety of community-based partners
  • Fundraising, strategic planning, community-based programming, and human resource experience helpful
  • Experience working collaboratively with diverse populations, particularly an ability to accommodate a variety of backgrounds, skill sets, levels of technical expertise and understanding of organizational policy and procedures
  • Sensitivity to the diverse needs of staff, volunteers, partners, and participating organizations
  • Ability to multi-task in a fast-paced environment
  • Strong interpersonal skills and decision-making ability; Customer-service experience helpful
  • Robust skills in the Microsoft Office suite, particularly Excel
